Position Objectives:
Job Summary: We are seeking a dedicated and organized individual to join our team as an Office Assistant/Deputy Court Clerk. This dual role involves performing a variety of administrative and clerical tasks to support the daily operations of our office and the local court. The ideal candidate will be detail-oriented, efficient and capable of handling multiple responsibilities with professionalism and discretion.

Duties and Responsibilities:

Office Assistant Duties:

1. Oversee clerical tasks such as sorting and distributing mail, maintaining files.
2. Greet visitors, answers phone calls, and direct inquires to the appropriate personnel.
3. Perform data entry, document preparation, and record-keeping.
4. Perform general administrative duties in a professional manor.

Court Clerk Duties:

1. Maintain and organize court records, files and documents.
Prepare and issue court orders, summons, warrants and other legal documents.
2. Assist judges and attorneys during court proceedings by managing and preparing court dockets.
3. Record and document judgements and court cases.
4. Process court fees, fines and other payments, ensuring accurate record-keeping and reporting.

Skills:

1. Attention to detail, and accuracy.
2. Strong interpersonal skills, professional telephone and customer service skills and mindset.
3. Ability to work independently and as part of a team.
4. Problem-solving skills, and the ability to handle unexpected situations calmly and efficiently.

Desirable Training and Experience:
Qualifications:

1. High School diploma, or equivalent, additional education or certifications in office administration or legal studies is a plus.
2. Previous experience in an administrative or clerical position/role, preferably within a legal court setting.
3. Strong organizational and multitasking skills.
4. Excellent written and verbal communication abilities.
5. Proficiency in using office software (e.g. Microsoft Office Suite) and basic computer skills.
6. Ability to maintain confidentiality and handle sensitive information with discretion.

This position is based in a small-town office environment. Regular working hours are 8:30 AM - 5:30 PM with occasional need for flexibility based on court schedules.
