General Description
This position is responsible for performing a variety of daily office tasks within the Planning/ Building and Code Department. This role includes handling phone calls and in-person inquiries, issuing licenses and permits, processing payments, managing abatement and lien documents, managing park reservations, website management, coordinating events, community interaction, and maintaining social media presence.
Summary of Essential Duties and Responsibilities
•Serves as receptionist for the Planning/ Building and Code Department.
•Assists customers at the counter and via phone.
•Monitors the cash drawer and prepares daily check-out documentation.
•Issues licenses and permits and maintains accurate records.
•Processes abatement invoices and maintains related records.
•Files and maintains lien records, issues and certifies lien releases, and determines lien amounts.
•Performs clerical duties including research, filing, document maintenance, and correspondence.
•Marketing and media, event coordination, community outreach and engagement (see details below)
•Performs other duties as assigned.
Marketing and Media:
•Manages social media on multiple platforms.
•Shares in website management responsibilities.
•Communicates our message and tells our story.
•Interacts with and spotlights local businesses, departments, employees, and City Council.
•Recognizes special achievements in the community.
Event Coordination:
•Coordinates events and community functions at the Civic Plaza and city parks.
•Manages park reservations.
•Manages special event permits.
Community Outreach and Engagement:
•Improves our operations in welcoming new residents, businesses, and visitors.
•Promotes community events.
•Enhances our engagement and outreach operations.
•Assists with AI processes to streamline operations.
Minimum Qualifications
•High School graduate or approved equivalent.
•Knowledge of office practices, procedures and operations.
•Ability to plan, prioritize, and complete tasks effectively and accurately and within deadlines.
•Ability to understand and follow both oral and written instructions and see tasks through to completion.
•Self-motivated with the ability to work independently with minimal supervision.
•Ability to maintain confidentiality while handling records and information.
•Strong customer service and professional telephone etiquette skills.
•Ability to file numerically and alphabetically and transfer information accurately.
•Ability to exercise good judgment in high-pressure situations.
•Ability to read and understand complex documents, including municipal codes.
•Strong written and verbal communication skills.
•Ability to establish and maintain effective working relationships with colleagues, vendors and the public.
•Proficiency in Microsoft Word, Excel, and other software and equipment.
•Ability to handle cash and make accurate change.
•Previous office experience preferred.
•Proficiency in social media management and content development.
•Experience planning/ coordinating public events.
•Ability to create content for web, print, and social platforms.
•Valid Oklahoma driver's license.
Working Conditions and Physical Requirements
•This is a majority in-office position with a forty-hour Monday-Friday schedule during business hours.
•Must be able to sit, stand, walk, and use a telephone and computer for extended periods.
•Ability to work in close proximity to others and able to handle frequent interruptions.
•Some stress from activity levels and the nature of the job duties.
•High degree of concentration required to fulfill essential job duties accurately.
•Some exposure to unpleasant citizens; must be able to handle professionally.
•Ability to pull, push, or lift and carry a minimum of 25 pounds of weight.
•Required to use hands and fingers to operate office equipment and type.
•Hearing and speech required to communicate clearly and distinctly in English in person and over the phone.
•Adequate eyesight to read computer screens and perform detailed work.
•Must present a professional appearance.
•Out of office light travel as needed in and around the community and OKC metro
•Flexible scheduling available at discretion of department head.
